Temporary / Part-Time Operations Manager

We are seeking a skilled Operations Manager for a temporary, part-time position in Washington DC (elsewhere in the U.S. is possible for the right candidate). The successful applicant will have excellent attention to detail, great judgment and discretion, as well as impeccable organizational skills. The Applicant is encouraged to have experience working with executive and management team members, as well as a fully distributed, remote team.

Job Responsibilities

Operations and Human Resources
  • Set up and schedule reviews, and work with HR Consultant and Leadership team as needed
  • Assist HR Consultant and Leadership team with onboarding and off-boarding needs
  • Manage the Wide Eye Calendars
  • Celebrate employees for birthdays and anniversaries, as well as clients as requested
  • Manage, filter and sort, and redirect questions from benefits vendors from Operations email address
  • Other duties as assigned
  • Manage project invoicing, in coordination with project managers via Quickbooks
  • Send reminders for outstanding invoices
  • Manage and purchase items on behalf of Team Wide Eye 
  • Manage, process, and file vendor/contractor payments and invoices 
  • Match and resolve invoices using Quickbooks
  • Work with CFO Vendor with any other financial tasks, as needed
  • Other duties as assigned
Project Team
  • Manage and send contracts to clients and contractors via Docusign, and store signed contracts for record keeping
  • Update client contact information in Client Contact Sheet, as needed
  • Update retainer/hosting/referral logs, as needed 
  • Assist with any project setup, as needed 
  • Manage 1Password 
  • Other duties as assigned

Experience / Qualifications

  • Minimum 5 years relevant experience
  • Knowledge and experience with bookkeeping and Quickbooks 
  • Attention to detail and organizational skills
  • Excellent verbal and written communication skills
  • Excellent follow-up and tracking skills
  • Great judgment and discretion
  • Proficiency in Microsoft Office tools and Google Drive tools 
  • Experience working with a remote team 
  • Experience working with executive team members, as well as financial managers and Human Resources

Bonus Points

  • Experience using Airtable and password managers, such as 1Password
  • Experience working in a creative agency

Engagement Details

  • This role is a part-time, temporary role from 7/6/2021-10/29/2021, and will overlap with Operations Manager’s maternity leave in July to ensure a smooth transition.
  • Coverage will be 20 hours per week, with hourly pay ($28-$30/hr)
